Kennedy Scholarships

The Kennedy Memorial Trust collects information from those who apply each year for a Kennedy Scholarship. To comply with the Data Protection Act 1998, the information we gather must be:

  • processed fairly and lawfully;
  • obtained for a specific purpose;
  • adequate, relevant and not excessive for the intended purpose;
  • kept only for as long as necessary;
  • collected and stored safely;
  • accurate and kept up to date;
  • disclosed only to authorised people;
  • transferred to countries outside the EU only when compliance with the Act is assured.

The data supplied by applicants in any given year will be viewed throughout that year’s competition by the trustees of the Kennedy Memorial Trust, as listed on the website www.kennedytrust.org.uk, and used by the Secretary. It will be kept in full until that particular year’s scholarship competition is over. The names of all applicants, their UK universities and courses, and the programmes they applied for in the US will be retained as a record of that year’s competition.  All other data relating to applicants who have been unsuccessful will be destroyed. Census data, if given, may be the basis for particular reports, for instance with regard to equal opportunities. These reports will be unattributable.

Data relating to those awarded a Kennedy Scholarship will be kept in full by the Trust as the basis of its alumni records and detailed historical archive.  Personal details may be updated by the Secretary, as the scholar chooses, and retained by the Secretary on behalf of the Trust.  Any request to see these files, except by trustees or former trustees, would be referred to the scholar concerned.

Data relating to those selected as reserve candidates will be kept until the full list of scholars is known, following admissions decisions at Harvard and MIT. Data about applicants not offered a scholarship will then be treated like the data of other unsuccessful applicants.
